{"id":27282,"date":"2018-10-05T08:00:21","date_gmt":"2018-10-05T12:00:21","guid":{"rendered":"http:\/\/blogs.publishersweekly.com\/blogs\/shelftalker\/?p=27282"},"modified":"2018-10-05T08:00:21","modified_gmt":"2018-10-05T12:00:21","slug":"texas-teen-book-festival-turns-10-part-1","status":"publish","type":"post","link":"http:\/\/blogs.publishersweekly.com\/blogs\/shelftalker\/?p=27282","title":{"rendered":"The Texas Teen Book Festival Turns 10, Part 1"},"content":{"rendered":"<p><a href=\"https:\/\/texasteenbookfestival.org\/\"><img decoding=\"async\" class=\"alignleft\" src=\"https:\/\/texasteenbookfestival.org\/wp-content\/uploads\/2018\/09\/TTBF_BalloonCity_Web-1.png\" width=\"226\" height=\"349\" \/><\/a>As I write this, we are about 34 hours away from the 10<sup>th<\/sup> annual <a href=\"https:\/\/texasteenbookfestival.org\/\">Texas Teen Book Festival<\/a>. Planned in partnership between BookPeople, the Texas Book Festival, and several amazing librarians who do this in their free time, TTBF has grown from an experiment launched in a high school theater to an event that takes over St. Edwards University campus with 35+ authors and 4,000 readers every year.<br \/>\nAt this point, the truck has been packed with books, giveaways, banners, props, and all kinds of miscellany. Final emails have been sent out to authors, publishers, and moderators; announcements are getting a final polish; and signage has been printed.<br \/>\nFestivals are whirlwinds of energy and activity. Every year is different, so there\u2019s always a new wrinkle to adapt to and learn from. But here are a few things I\u2019ve learned over the last decade in the trenches as TTBF Programming Director.<br \/>\n<!--more--><br \/>\n<strong>COMMUNICATION IS HARD:\u00a0<\/strong>You can\u2019t plan\u00a0a festival without a lot of communication. But as the planning committee got larger and our festival more complex, managing the email threads became impossible. Festival Director Shawn Mauser brought us into the world of Trello (an online project management tool) 3-4 years ago, and it has made a huge difference. We still send plenty of emails, but Trello serves as a holding place for decisions made, tasks assigned, and progress tracked across all\u00a0aspects of the festival.<br \/>\n<div id=\"attachment_27285\" style=\"width: 251px\" class=\"wp-caption alignright\"><a href=\"http:\/\/wordpress.publishersweekly.com\/blogs\/shelftalker\/wp-content\/uploads\/2018\/10\/boxes-1.jpg\"><img decoding=\"async\" aria-describedby=\"caption-attachment-27285\" class=\"wp-image-27285\" src=\"http:\/\/wordpress.publishersweekly.com\/blogs\/shelftalker\/wp-content\/uploads\/2018\/10\/boxes-1.jpg\" alt=\"\" width=\"241\" height=\"325\" \/><\/a><p id=\"caption-attachment-27285\" class=\"wp-caption-text\">Color-coded by panel and ready to go.<\/p><\/div><br \/>\n<strong>SPREADSHEETS RULE:\u00a0<\/strong>Often less is more, but when you\u2019re talking about tracking\u00a0docs, I\u2019m\u00a0here to say\u00a0that more is actually more. Yes, I\u2019m blogging about spreadsheets! (Exciting stuff, I know.) But, every year we add\u00a0more tracking grids, and every year our handle on what\u2019s going on gets that much better.\u00a0TTBF has learned\u00a0 from the Texas Book Festival in that respect,\u00a0with all their experience putting on\u00a0an even larger program. The list of shared documents I\u2019ve referenced in the last 6 hours includes:<\/p>\n<ul>\n<li>The festival\u2019s Run of Show broken down in 30 minute increments<\/li>\n<li>A color-coded schedule of where each\u00a0committee member will be from Friday morning load in\u00a0to Saturday evening pack out<\/li>\n<li>Author questionnaire responses, with author party attendance, food restrictions, fun facts for introductions, and pre-signing times<\/li>\n<li>Saturday morning\u2019s shuttle schedule for the festival hotel<\/li>\n<li>The book order grid sorted by panel for easy unloading<\/li>\n<li>Roundtable RSVPS from We Need Diverse Books essay contest winners<\/li>\n<li>A full script of remarks committee members\u00a0have planned for each event\u00a0stage<\/li>\n<\/ul>\n<p><strong>MISTAKES HAPPEN: <\/strong>In an event with this many moving parts, there will always be surprises, and even mistakes (like the year all the signing tables were in direct Texas sun). We plan as much as we can,\u00a0and then we have to\u00a0embrace the unpredictable. All we can do is to respond quickly and nimbly and keep pushing everything forward. I personally keep a running list of notes for next time on me at all times. By\u00a0Sunday morning, it\u2019s a mental blur, so every note helps me\u00a0remember what to do\u00a0better the next time. Maybe we need another spreadsheet!<br \/>\n<strong>IT\u2019S NOT REALLY ABOUT THE SPREADSHEETS:<\/strong>\u00a0All our planning\u00a0just\u00a0builds a solid structure around which the festival can come to life, and then it\u2019s our job to keep everything on track as the teens arrive and take center stage. The truth is that the more we\u2019ve amplified teen voices in our festival, the more it\u00a0feels like it\u2019s theirs. Over time we\u2019ve started passing the mic to booktubers and bookstagrammers and added writing contests, roundtables, interactive sessions, and workshops. This year we&#8217;re adding TTBF themed trivia and a StudioCreate tent where exhibitors and partners can offer creative activities. And, of course, our Teen Press Corps will be interviewing authors and live blogging everything all day long.<br \/>\nI plan to be right in the middle of it all, enjoying the moment, because it\u2019ll be over before we even know it.
